Finance and Operations Coordinator

Position Description: The Finance and Operations Coordinator is a key member of the SOP, supporting both Perea Preschool and Perea Elementary. This position will report to the Senior Director of Finance & Operations. The Finance and Operations Coordinator will help ensure that a high level of service is provided to all stakeholder vendors, families, and staff, while also doing whatever is needed on the ground to ensure SOP’s success.

Finance & HR:

  • Grants Reimbursements: With the oversight of Senior Director of Finance and Operations, manage all grant reimbursements and fiscal grants compliance for the district, state, and other grantors, including regularly preparing reimbursement packages, maintaining grants tracker spreadsheet, tracking grants revenue, and reconciling information to ensure timely receipt of all grant’s funds.
  • Invoices and Accounts Payable: Lead the accounts payable process, including overseeing W-9 collection, reviewing, and submitting invoices for all vendors, collecting receipts, and coding transactions with the appropriate expense codes from the chart of accounts
  • Accounts Receivable and Cash Management: Collect cash and checks (e.g., for uniforms, student fees) from main office, reconcile and code, and prepare and submit bi-weekly deposits.
  • HR Employees Files: Oversee the HR employee files for each school; this includes ensuring appropriate staff has up to date and accurate documents, licensure & certifications are up to date, and ensuring each file is 100% in compliance with LEA, state, and federal regulations; i.e CPR, licensure, etc.
  • Pre-K Certification: Manage the Pre-K certification program for all Pre-K staff, i.e. CPR, training, licensure, etc.

Operations and Student/Family Services:

  • Operations Vendor Management: Liaise with custodial, security and other operations service providers, monitoring that they are on site as scheduled, managing quality control of the work provided, and communicating with the custodial vendor about any issues that arise. This includes Nursing services if the school Nurse has an extended absence.
  • Food Service: lead the nutrition supervision for SOP by coordinating with third-party provider to ensure billing and reimbursement information is accurate, as well as partnering with kitchen-vendor to ensure compliance with the State food programs.
  • School Events: assist with planning and preparations for school events and field trips
  • Board Meeting Administration: Schedule and issue invitations for monthly Board of Directors meetings; Attend monthly Board of Directors meetings to record and maintain minutes and records; Ensure Board OnTrack is up to date and accurate; track and manage compliance training for all Board Members
  • Office Management Support: on a limited basis when needed (PTO, vacancies, etc.) provide support for the front office to ensure students, staff, and families receive world-class service when interacting with the front office.

Qualifications

  • Bachelor’s Degree required.
  • Minimum 4 years of experience in a school office/operation setting preferred.
